1. Introduction

This Privacy Policy explains how 1000cams s.r.o., trading as Get Moments ("Get Moments", "we", "us", "our"), collects, uses, stores, and shares personal data when you visit our website getmoments.com (the "Website"), submit an enquiry or demo request, or are contacted by us as part of our B2B outreach activities.

We are incorporated under Czech law and subject to the General Data Protection Regulation (EU) 2016/679 ("GDPR"), the UK General Data Protection Regulation ("UK GDPR") as retained under the Data Protection Act 2018, Czech data protection legislation, the California Consumer Privacy Act ("CCPA") and California Privacy Rights Act ("CPRA"), and applicable US state privacy laws.

As a Czech-registered company operating within the European Union, we are subject to oversight by the Czech data protection supervisory authority, Úřad pro ochranu osobních údajů (UOOU). UK residents are also protected under UK GDPR, overseen by the Information Commissioner’s Office (ICO).

3. Personal Data We Collect

3.1 Data You Provide Directly

When you fill in a contact form, request a demo, or otherwise get in touch via our Website, we collect:

  • Full name

  • Business email address

  • Company name and organisation

  • Job title or role

  • Phone number

You are not required to provide all of this information to make an enquiry, but incomplete submissions may limit our ability to follow up effectively.

3.2 Data We Collect Automatically

When you visit our Website, certain technical data is collected automatically via cookies and our hosting infrastructure. This includes:

  • IP address (anonymised for analytics purposes)

  • Browser type and version

  • Device type and operating system

  • Pages visited and time spent on each page

  • Referring URL and search terms

  • Approximate geographic location (country or city level, derived from IP)

3.3 Data We Collect Indirectly — B2B Prospecting

As part of our outbound sales and marketing activities, we may collect professional contact information about individuals at organisations that we believe may benefit from Get Moments. This data is sourced from:

  • LinkedIn — publicly available professional profiles

  • RocketReach — a B2B contact data platform

The categories of data collected through prospecting are: full name, business email address, job title, company name, and LinkedIn profile URL. We do not source or retain personal mobile numbers through prospecting tools.

If you have received a communication from us and did not expect to, you have the right to object to this processing at any time. See Section 9 for details.

3.4 Data We Do Not Collect

We do not knowingly collect personal data from individuals under the age of 18. Our Website and services are directed exclusively at business professionals. We do not process special category data (such as health, biometric, or racial data) through this Website.

4. How and Why We Use Your Personal Data

The table below sets out each processing activity, the personal data involved, the legal basis under GDPR, and how long we retain it.

5. Marketing Communications

We send marketing emails and product updates using Mailchimp. We will only send you marketing emails if you have explicitly opted in to receive them, either via a sign-up form on the Website or by indicating interest during a sales conversation.

You can unsubscribe at any time by clicking the unsubscribe link in any marketing email, or by contacting us at hello@getmoments.com. Unsubscribing will not affect the processing of any data collected prior to your withdrawal of consent.

We do not purchase third-party marketing lists or send unsolicited mass emails to personal (non-business) email addresses.

6. B2B Outreach and Cold Contact

We conduct outbound B2B sales outreach to professionals at event organisations, festivals, sports properties, and related businesses. This activity involves processing professional contact data sourced from LinkedIn and RocketReach, as described in Section 3.3.

The legal basis for this processing is our legitimate interests in marketing our services to organisations that are plausibly relevant prospects for Get Moments. We apply the following safeguards to ensure this processing is proportionate:

  • We only contact individuals at business email addresses in a professional capacity

  • We only target roles directly relevant to our product (e.g. marketing directors, festival managers, partnership leads)

  • Every outreach email includes a clear and simple opt-out mechanism

  • We honour all opt-out and objection requests promptly and remove individuals from our outreach lists within 5 business days

  • We do not retain prospecting data for longer than 2 years, or beyond an objection

Under GDPR Recital 47, direct marketing to business contacts can constitute a legitimate interest, provided the individual's interests and rights are respected. Our outreach is targeted, professional, relevant, and easy to opt out of.

7. Who We Share Personal Data With

7.1 Our Service Providers (Sub-Processors)

We share personal data with a limited set of trusted third-party service providers who process data on our behalf. Each provider is subject to a data processing agreement and is only permitted to process data in accordance with our instructions.

7.2 Advertising Partners (Independent Controllers)

We share pseudonymous data with Meta Platforms Ireland Ltd. and LinkedIn Ireland Unlimited Company for the purpose of measuring advertising performance and building retargeted advertising audiences. In this context, these companies act as independent data controllers (or joint controllers) rather than processors, and their own privacy policies govern their use of that data.

Under CCPA, this activity may constitute the "sale" or "sharing" of personal information for cross-context behavioural advertising. California residents have the right to opt out. See Section 10 for details.

7.3 Legal Obligations

We may disclose personal data where required to do so by applicable law, court order, or regulatory authority. We will, where legally permitted, notify affected individuals of any such disclosure.

7.4 Business Transfers

In the event of a merger, acquisition, or sale of all or part of our business assets, personal data held by us may be transferred to the relevant third party as part of that transaction. We will notify affected individuals in advance where required by law.

8. International Data Transfers

Several of our service providers are based in, or transfer data to, countries outside the European Economic Area (EEA) and the United Kingdom — including the United States. We ensure all such transfers comply with GDPR Chapter V and UK GDPR requirements by relying on the following safeguards:

  • Standard Contractual Clauses (SCCs) approved by the European Commission (Decision 2021/914)

  • The EU–US Data Privacy Framework (for providers certified under the Framework)

  • The UK International Data Transfer Agreement (IDTA) or UK Addendum to SCCs, for transfers from the UK

9. Your Rights

9.1 Rights Under GDPR and UK GDPR (EU and UK Residents)

If you are located in the European Union or the United Kingdom, you have the following rights under GDPR and UK GDPR:

  • Access: Right of access (Art. 15)

  • Rectification: Right to rectification of inaccurate data (Art. 16)

  • Erasure: Right to erasure / ‘right to be forgotten’ (Art. 17)

  • Restriction: Right to restriction of processing (Art. 18)

  • Portability: Right to data portability in a machine-readable format (Art. 20)

  • Objection: Right to object to processing based on legitimate interests or for direct marketing purposes (Art. 21)

  • Withdraw consent: Right to withdraw consent at any time, without affecting prior lawful processing (Art. 7(3))

9.2 Rights Under CCPA / CPRA (California Residents)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):

  • Right to Know: You may request full disclosure of the personal information we have collected about you, the sources of that data, the purposes for which it is used, and the third parties with whom it has been shared.

  • Right to Delete: You may request deletion of your personal information, subject to certain legal exceptions (such as data required to complete a transaction or comply with a legal obligation).

  • Right to Correct: You may request correction of inaccurate personal information we hold about you.

  • Right to Opt Out of Sale / Sharing: We share personal information with Meta and LinkedIn for cross-context behavioural advertising, which constitutes ‘sharing’ under CCPA. You have the right to direct us to stop. See Section 10 for how to opt out.

  • Right to Non-Discrimination: We will not discriminate against you — including by denying services, charging different prices, or providing a different quality of service — because you exercise your CCPA rights.

  • Authorised Agent: You may designate an authorised agent to submit requests on your behalf. We will require written authorisation or proof of power of attorney.

To submit a CCPA request, contact us at hello@getmoments.com with the subject line "CCPA Privacy Request" or use the opt-out mechanism described in Section 10. We will verify your identity and respond within 45 days (extendable by a further 45 days with notice).

We do not sell personal information for monetary consideration. We do not use or disclose sensitive personal information beyond what is necessary to provide our services.

9.3 Rights Under Other US State Privacy Laws

Residents of Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), Texas (TDPSA), Oregon (OCPA), and other US states with applicable privacy legislation have similar rights, including the right to access, delete, correct, and port their personal data, and to opt out of targeted advertising and profiling for significant decisions.

10. Opt Out of Sale / Sharing of Personal Data

We share data about Website visitors with Meta and LinkedIn for retargeted advertising. Under CCPA and related US state laws, this constitutes ‘sharing’ of personal information for cross-context behavioural advertising.

You can opt out using any of the following methods:

  • Click "Reject" in the Cookie Settings panel on our Website

  • Email hello@getmoments.com with the subject line "Opt Out — Do Not Share"

Once you opt out, we will stop placing the Meta Pixel and LinkedIn Insights Tag cookies in your browser, preventing further sharing of your data with those platforms. This opt-out is stored in your browser. If you clear your cookies or use a different browser or device, you may need to opt out again.

11. Data Retention

We retain personal data only for as long as is necessary for the purposes for which it was collected, and in accordance with applicable law. Our standard retention periods are:

  • Enquiry and demo request data: up to 2 years from last contact, unless a business relationship continues beyond this point

  • CRM (Pipedrive) records: up to 2 years from last meaningful interaction

  • Marketing email contact data (Mailchimp): until unsubscription or 2 years of inactivity, whichever comes first

  • B2B prospecting data: up to 2 years from collection, or until an objection is received (whichever is sooner)

  • Website analytics data: 26 months (GA4 default configuration)

  • Advertising audience data: 90 days (Meta) / 30 days (LinkedIn), governed by those platforms

  • Server logs (Framer): in accordance with Framer’s standard retention policy

When data is no longer required, we securely delete or anonymise it. Where a legal obligation requires us to retain data for a longer period, we will do so but will restrict its use to compliance purposes only.

12. Data Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, or destruction. These measures include:

  • Access controls limiting data access to personnel with a legitimate business need

  • Encryption of data in transit (HTTPS/TLS across all Website connections)

  • Use of established SaaS platforms (Pipedrive, Mailchimp, Framer) that maintain their own certified security programmes

  • Regular review of access permissions and third-party processor agreements

In the event of a personal data breach that poses a risk to individuals’ rights and freedoms, we will notify the relevant supervisory authority within 72 hours of becoming aware, and will notify affected individuals without undue delay where required under GDPR Article 34.

13. Children’s Privacy

Our Website and services are directed exclusively at business professionals and are not intended for use by individuals under the age of 18. We do not knowingly collect personal data from minors.

If you believe we have inadvertently collected data from a minor, please contact hello@getmoments.com and we will delete the relevant data promptly.
